Overview
Automation of company’s Observation Process, there are observation added by the company’s staff and other members like visitor, auditor, external contractor. For other members developed MS-Form to make entry and with the help of Power Automate it will reflect form response in SharePoint List. For Company’s Staff prepared new application in Power App to see entries and other team members make comment on it also. By respective department head have permission to take closure image by camera and added with current observation to make it close, re-open or may be reject. Category wise option over there to validate or reject the current observation by head. Push notification over there to notify when new observation added in Apps. Prepared MSI report in Power BI to monitoring and drilling the observation entries and its closure ration.
Challenges
The most challenge for this project was make entries by non-staff. For the same prepared the MS-form and with the help of Power Automate, we copied that response in SharePoint list.
- Main challenge is to make power automate for collect the observation from the MS-Form and assigned that observation to respective department head.
- Manage the categories wise options like validate and reject for some categories while close observation for other categories.
- Managed the Power BI Reports to cover entire project MSI detain in single dashboard.
Problem Identify
We have identified the problem for making observation entry by staff and non-staff.
- This system helps to resolve the various issues: Accuracy, Consistency, No Reporting, team Interpretation.
- Setup push notification on new observation entry.
Solutions
Created a Power Apps application for explicitly information gathering & storing to SharePoint user management. This application makes the whole process automate which saves user’s time. Also created MS-Form make entry by no-staff and with the help of Power Automate get that details into SharePoint list. Applied multiple filter in application to filter the data and update the observation status and also make the comments on observation.
